This statement explains which personal data we process, why we do so, and which rights you have.

Which data we process, and why

Contact through the form or by email

Your name, email address, phone number if you fill it in, and the content of your message. We only use this to answer your question. Legal basis: if you ask for a quote or an appointment, we are taking steps at your request before entering into a contract; for any other question, it is our legitimate interest to reply to whoever writes to us.

The chat on this site

What you type in the chat window, and whatever you tell about yourself in it — for example your name, email address or phone number if you leave them, or the details you fill in when you ask to be called back. The chat is an AI assistant; its first message says so, together with how to reach a person straight away. The chat is run for us by Tryb Intelligence, which processes the conversation on our behalf and does not use it for anything else. The answers come from an AI model by Anthropic in the United States; what you type is sent to that company for this purpose. That transfer is covered by the European Commission's standard contractual clauses, which are part of Anthropic's data processing agreement; you can ask us for a copy. We read conversations back to improve the answers. Your own browser keeps the conversation during your visit, so it is still open after you reload the page; it disappears as soon as you close the tab. Legal basis: our legitimate interest in answering your question well.

An order or assignment

Your name, address, email address, phone number, what you ordered and how it was paid. Needed to deliver and to invoice. Legal basis: performance of the contract, and for our accounts a legal obligation.

Newsletter

Your email address, and whether you open our messages. Only if you signed up yourself. Legal basis: your consent. You can unsubscribe with the link at the bottom of every newsletter.

Visitor statistics

Which pages are visited and how visitors arrived. Only if you consent to this in the cookie notice. Legal basis: your consent. We use Google Analytics from Google Ireland Limited for this. Google may transfer this data to the United States; Google LLC participates in the EU-US Data Privacy Framework for that purpose. Google uses your IP address only to determine your country or region and does not store it.

How long we keep it

We keep messages sent through the contact form for up to two years after our last contact. We keep chat conversations for thirty days; a conversation we review because something went wrong is kept until that is resolved. We keep data belonging to an order for seven years, because the Dutch Tax Administration requires this of our accounts. We keep your newsletter subscription until you unsubscribe.

Who we share it with

Only with parties that do something for us for which the data is needed: the party that hosts our website, our email provider, the carrier and the payment provider, the party that runs our chat (Tryb Intelligence), the company behind the AI model in that chat (Anthropic), the service that sends our newsletter and our accountant. With each of them it is agreed that they use the data only for our work. We never sell your data.

Of what we process ourselves, both what you type in the chat and your email address for the newsletter leave the European Economic Area: what you type in the chat goes to Anthropic's AI model in the United States, on the basis of the European Commission's standard contractual clauses; your email address for the newsletter goes to a service in the United States, under the EU-U.S. Data Privacy Framework. Should more ever go that way, it will be on the basis of an adequacy decision or the same standard contractual clauses.

Some pages contain content from Instagram (Meta). It only loads after you say yes in the cookie notice. If you do, your IP address and what your browser sends along go to that party, which is itself responsible for what it does with them and may also process the data outside the European Economic Area. If you say no, it does not load.

What you can ask for

• Access — which data we hold about you.
• Correction — if something is wrong.
• Erasure — unless we are required by law to keep it.
• Restriction and objection — to processing based on a legitimate interest.
• Portability — your data in a readable file, to take with you.
• Withdrawing consent — what happened before remains lawful; after that it stops.

Send your request to hi@retreathouse.nl. You will hear from us within a month. If you disagree with how we handle your data, you can complain to the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl), or to the German supervisory authority of your federal state.

Do you have to provide your data?

No, you are not obliged to. But without your name and a way to reach you we cannot reply to your message, and without your address and the details that belong to the assignment we cannot carry it out or invoice it. We do not take decisions about you that are made by a computer alone.

Security

The site runs on an encrypted connection (https). Only the people who need the data for their work have access to it.

Changes

If anything changes in how we handle data, we will update this statement.
